Main duties include:

  • Accounts Receivable; invoicing/reconciling using Xero
  • Leading the bookings process administration: new client set up forms, general Credit Control requesting PO numbers, filing expenses
  • Creating and sending out accurate 4 weekly statements for all talent
  • Dealing with and handling any statement enquiries from all talent
  • Assisting with payments to all talent every 4 weeks 
  • Managing and chasing all client accounts using Xero and internal systems - ensuring no overdue payments and escalating these to directors where necessary.
  • Requesting and providing Mother Agency Commission statements and reconciling MAC received.
  • Providing weekly booking figures against targets to the senior team and upon request to Directors and other team members 
  • Supporting talent with placement agency info eg tax forms / when to anticipate payment etc
  • Authorising account advances to talent
  • Managing primary admin email account
  • Strengthen client relationships and building trust and strong long term working relationships

Requirements:

  • At least 1 year of experience in a similar role
  • Fully competent using Xero and Excel 
  • PC literate
  • Excellent communication skills - on email, phone and face to face and to liaise with 360 team
  • Self-motivated with a can-do, problem-solving attitude
  • The ability to work well under pressure, and be responsive to change
  • Decisiveness and conflict resolution
  • Both a team player and confident working independently
  • Excellent organisation, accuracy and time management skills
  • Strong ability to juggle multiple tasks, briefs and deadlines whilst maintaining a strong knowledge and awareness of what is going on in the office throughout the day
