About: PRM is a boutique model management company based in London representing female and male models. After many years working in men's fashion - Paulo Ribeiro started the company in 2012. John Bruce who is recognised for being on channel 4's the model agency is in charge of the booking table.

Our booking team have intense knowledge of the international markets and many languages are spoken in our office. We offer a very professional, friendly and courteous service with special care taken in nurturing our talent from the development stages to career management and represent boy & girls from the age of 16yo.

PRM is an established London model agency founded 14 years ago by its two owners.  Since the agency was created, the owners have managed the business without an Executive Assistant.

As the agency has grown and the demands on both owners have increased, we are now looking for someone exceptional to work closely alongside us and become a central part of how we operate.  This is a newly created position, so we are looking for someone who can help shape the role rather than simply step into an existing structure.

We are looking for a confident, highly organised, proactive Executive Assistant to support both owners of PRM.  This is not a passive administrative role.  The Executive Assistant needs to be energetic, have presence and initiative — someone who can organise us, protect our time, keep people accountable and make sure things actually get done.  The right person will be comfortable dealing with different personalities, handling sensitive conversations and stepping in firmly when required.

The role will initially be offered on a contract basis, giving both sides the opportunity to establish whether the relationship is the right long-term fit.  For the right person, there is a genuine opportunity to become a permanent and senior member of the agency, with the role developing alongside the business.  As you will work closely with both owners, trust, chemistry, discretion and reliability are non-negotiable.  We are looking for someone who can become our trusted right hand.

Key Responsibilities of the Executive Assistant

Executive & Diary Support:

  • Manage both owners’ diaries and schedules.
  • Coordinate meetings, appointments, lunches, events and calls.
  • Prioritise competing demands on the owners’ time.
  • Ensure both owners are prepared for meetings and important conversations.
  • Keep track of outstanding tasks and follow-ups.
  • Make sure actions agreed in meetings are completed.
  • Remind and chase both owners where necessary.
  • Help establish better systems and working practices around the owners.
  • Act as a gatekeeper and protect the owners from unnecessary interruptions.

Communication & Follow-Up:

  • Liaise confidently with staff, models, clients, agencies, suppliers and external contacts.
  • Follow up on behalf of the owners.
  • Chase outstanding information, decisions and actions.
  • Ensure deadlines are respected.
  • Communicate decisions clearly and professionally.
  • Handle sensitive or difficult conversations when appropriate.
  • Be comfortable saying “no”, pushing back or escalating matters when required.
  • Make sure expectations set by the owners are understood and followed.

Agency & Business Support:

  • Support the owners across the day-to-day running of the agency.
  • Assist with special projects and business initiatives.
  • Help coordinate internal meetings.
  • Maintain oversight of important agency deadlines and commitments.
  • Help improve organisation and communication between teams.
  • Support recruitment, onboarding or staff-related administration where required.
  • Liaise with accountants, lawyers, consultants and other external advisers when necessary.
  • Help organise agency events, client entertainment and travel.
  • Assist with confidential business and personal matters.

Organisation & Systems:

Because this is a newly created position, an important part of the role will be helping us establish structure.  This may include:

  • Creating clear diary and meeting systems.
  • Establishing better follow-up processes.
  • Maintaining action lists and priority lists.
  • Creating simple reporting systems.
  • Organising important documents and information.
  • Introducing tools or processes that make the owners more efficient.
  • Identifying where things are falling through the cracks and fixing them.

What PRM is looking for:

  • Experience supporting Founders, Managing Directors, Entrepreneurs, Senior Executives or Creative/Fashion leaders
  • We are not looking for someone who waits for instructions.  We want someone with fire — proactive, confident, energetic and highly organised.
  • Assertive but diplomatic, with the confidence to challenge and hold people accountable.
  • Fast-moving, solution-focused and able to prioritise effectively.
  • Comfortable with strong personalities and calm under pressure.
  • Emotionally intelligent, discreet and trustworthy.
  • Independent, responsible and resilient.
  • Direct, professional and confident in making decisions.
  • Able to walk into a situation, quickly understand what needs to happen, take ownership and make it happen.
  • Experience in fashion, modelling, talent, luxury, PR, media or other creative industries is a plus

  • Meetings lead to clear actions and results.

  • Most importantly, we should feel that someone has our backs.
