Oceanus is looking for a highly organised, proactive Logistics & Wholesale Assistant to support the day-to-day movement of products from suppliers through to customers.

The Logistics & Wholesale Assistant will support day-to-day logistics operations by coordinating inbound and outbound shipments, tracking deliveries, managing documentation, and communicating with suppliers, freight companies, warehouses, and wholesale customers.

With comfort working to deadlines and confidence dealing with issues when shipments do not go according to plan, the successful candidate will be an important part of the operations team, helping Oceanus maintain a smooth, efficient and reliable supply chain.

The Logistics & Wholesale Assistant will support day-to-day logistics operations by coordinating inbound and outbound shipments, tracking deliveries, managing documentation, and communicating with suppliers, freight companies, warehouses, and wholesale customers.

Key Responsibilities of the Wholesale & Logistics Assistant

Logistics & Freight — Main Focus:

• Coordinate inbound and outbound shipments from suppliers, warehouses and customers.
• Arrange and manage deliveries with couriers, freight companies, hauliers and other logistics partners.
• Track shipments from dispatch through to final delivery.
• Monitor delivery schedules and proactively identify potential delays or issues.
• Communicate with freight forwarders, couriers, warehouses and suppliers on a daily basis.
• Obtain and compare freight quotes where required.
• Book transport and coordinate collection and delivery times.
• Prepare and maintain accurate shipping and delivery documentation.
• Ensure all relevant paperwork is completed correctly and on time.
• Monitor shipment costs and maintain accurate freight records.
• Investigate missing, delayed or damaged deliveries and coordinate resolutions.
• Liaise with warehouses regarding incoming and outgoing stock.
• Coordinate stock transfers between locations where required.
• Assist with stock reconciliation and investigate delivery or inventory discrepancies.
• Maintain accurate logistics schedules and shipment trackers.
• Provide regular updates to the wider team on shipment status and expected delivery dates.
• Help improve logistics processes, reduce delays and increase operational efficiency.

Wholesale Operations:

• Process wholesale orders accurately and ensure they are prepared for dispatch.
• Coordinate wholesale customer delivery requirements.
• Communicate with customers regarding delivery dates, tracking information and order status.
• Prepare order confirmations, delivery notes and relevant documentation.
• Monitor outstanding wholesale orders and ensure they are progressing on schedule.
• Support the wholesale team with stock availability and delivery information.
• Maintain accurate customer and order records.

Supplier & Customer Communication:

• Maintain strong working relationships with suppliers, freight partners, warehouses and wholesale customers.
• Follow up proactively on outstanding orders, collections and deliveries.
• Communicate clearly when there are delays, shortages or changes to delivery schedules.
• Resolve logistical issues quickly and professionally.
• Escalate significant operational issues to the Logistics/Operations Manager.
