Ruth Tomlinson has been designing her fine, intricate jewellery in her London studio since 2005.  A small business making big waves both nationally and internationally, Ruth is looking for an Office Manager to help grow and support this successful small business.  
 
As Office Manager, you will be responsible for ensuring that the infrastructure is in place to support the efficient running of the business.  You will oversee the smooth running of day to day administration and facilities management and help to improve business processes and procedures.
 
Specific responsibilities include:

  • Company-wide communication and calendar management;
  • Procure the best deals with preferred suppliers and contractors and manage the contracts and relationships on an ongoing basis;
  • Oversee the use of the business software with a view to improve efficiency, integration and staff usage  i.e. CRM, stock control, databases etc.
  • HR administration and data management (in line with legal requirements);
  • Manage the Company's financial accounting, monitoring and reporting systems, eg QuickBooks, and oversee end of month of accounting for expenses and sales;
  • Act as the Health & Safety Competent Person for the business;
  • Facilities management (including building, utilities, security and insurance);
  • Oversee and streamline dispatch and complex international shipping operations;
  • Some PA support and organisation of events and travel. 

Applicants should have a strong background in administration with at least 2 years’ experience in an Office Manager role – preferably within luxury retail.  Experience of working in fine jewellery within a studio environment would be an advantage.  

A sound understanding of basic business financial management, end of month accounting and financial reporting is important, as is working knowledge of QuickBooks (or similar).  Knowledge of Health & Safety policies and regulations would be ideal.  Excellent people and relationship management skills are essential.
