The Role

The team are responsible for the sourcing, costing/negotiating, ordering and production of all the Arcadia group and brand’s printed graphics including in-store POS, promotional, marketing and bag requirements (whilst ensuring the delivery dates) by using a variety of print/delivery processes and liaising with a preferred supplier list. Print Admin will be reporting to either a Senior Print Buyer or the Print Manager.

Day To Day

  • To provide administrative support to the P&V Team by raising/receipting POs and filing completed digital job bags for the department.
  • Progressing approval forms through the JDE (Purchase Order) authorisation process in a timely manner and liaising with our Accounting Centre and suppliers to resolve invoice queries that may arise.
  • Support with producing weekly/monthly reports for management, which include department spend, stock POS levels, stock deletions and brand recharges for our couriers and graphic requests from our supplier’s POS libraries.
  • Raise personal job sheets and digital job bags for allocated projects, keeping them up to date throughout.
  • Alongside line manager, review and identify cost effective methods of printing/finishing and distribution, maximising value for money, whilst maintaining quality, timings and service levels.
  • Produce accurate print specs (with guidance), select appropriate suppliers and request quotes via our online workflow tool.
  • Review costs when received, identify discrepancies or potential cost savings and negotiate with suppliers, where possible.
  • Present costs for line manager sign-off, prior to submitting to brand for approval.
  • Upon cost approval from brands, raise a PO and record additional savings made on the team savings spreadsheet.
  • Check regularly for PO approval and upon authorisation, arrange artwork from brands, confirm order with suppliers and agree final timings that suit the brands and is achievable for the suppliers.
  • Prior to closing down job folder, request and quality check file copies and ensure all latest details have been recorded and any photos of installs are received (if required) for future reference.
  • Close down and file properly any digital job folders.

Must Haves

  • Print buying and administrative experience is a plus, with an ability to analyse and assess figures/reports.
  • Strong interpersonal skills, particularly in communication and negotiating with others and able to build relationships quickly.
  • Great organisational skills to manage several projects in a fast paced company, whilst maintaining a good attention to detail.
  • Enthusiastic and flexible attitude, with ability to work as part of a team, or independently, as required.
  • Ability to prioritise schedules and manage own workload, highlighting any issues or concerns in a timely manner.
  • Self-motivated, capable of acting on own initiative and with minimum supervision.
  • General computer skills, Microsoft Office (especially Excel) and ability to learn internal databases.
