About: Magpie vintage is a premium curated vintage shop, with 2 spaces in brick lane vintage market, a shop in Islington and a shop in Barcelona. We specialise in true vintage from 1930's - 1970's along with beuatiful embroidery pieces, such as kantha thorws, suzani robes and huipils from south America.

An exciting opportunity has opened up for a talented and experienced Business Operations Manager to work between 25 - 30 hours per week on a permanent basis. 

Working for a small independent fashion retailer over multiple sites you will have a passion for managing business operations, promoting the company vision and achieving results. Due to the size of the business you will be involved in all areas of the operation, which extends to operations, HR, finance, customer service and logistics, meaning no two days will be the same.

The core hours for this position are between 9:30 – 12:30 Monday to Friday and the remaining hours are flexible. The role requires working form our East London office as well as moving around to different shop locations when required. Time flexibilty is a neccesaity for this role.

  • Must have a positive attitude, flexible and the ability to work and communicate with all levels of management
  • Ability to achieve results by working with and through others

Key Responsibilities:

  • Work cross-functionally across the business identifying blockages and areas of improvement
  • Make recommendations and help implement relevant software
  • Regularly review our current suppliers and processes to identify savings and efficiencies
  • Help with the hiring process and identify areas and make recommendations to the management team on recruitment to address any issues
  • Provide clear and insightful communication with the wider team on challenges and opportunities, ensuring cohesive collaboration
  • Oversee the shop management, including supplier renewals, office supplies, health & safety and insurances
  • Track and approve orders for store supplies and all stock, including management of custom slips and full logistics tracking of problem parcels
  • Be the central point of contact for stores providing a consistently high level of service that supports day-to-day retail operations
  • Liaise with suppliers and retail managers to ensure stock deliveries, store materials, POS, training etc., is delivered on time
  • Manage the retail operations inbox’s responding to all store queries quickly and accurately and managing receipt bank
  • Sending all timesheets to payroll and paying HMRC PAYE, ensuring everything is correct
  • Having knowledge on PAYE and payroll so can easily flag if there are issues
  • Assisting the organisation of staff holidays/cover and being on hand if needed to help store managers with sick days/cover swaps
  • Weekly to fortnightly retail walk rounds to ensure standards are maintained, and merchandising is on brand
  • To trouble shoot and problem solve general store issues, maintenance etc.
  • To help with the set up and continuing running of utility/insurance/business rates etc.
