If you are a passionate and innovative Wholesale Administrator, we have an excellent opportunity for you to join our London HQ based Wholesale Team. You will work in an environment driven by passion, innovation and authenticity in the world of Original American Sportswear.

About the team

As part of the Wholesale team, you will be responsible for assisting with all administration duties for the Wholesale department and will be responsible for providing general support to the sales team.

Responsibilities
 

  • First point of contact regarding order confirmations, product images and product information, such as EAN codes, material contents , made in information, washing instructions . This will initial making and maintaining the care & composition database in the beginning of the season and the customers EAN 's database as soon as the selling is finished and all the orders are on U2.
  • First point of contact for ticketing updates with the following accounts Next, JLP, HOF & Brown Thomas. This will include updating our own data file programmes and using external websites.
  • Printing and distributing sales books for the sales team before the sale season starts. Being available to help with sales appointments as well as enter forward orders in busy periods.
  • HOF Concession – preparing and uploading PPI files on FTP system. Selecting, and then uploading the product images on FTP. You will also  be required to Liaise with HOF help desk to get sales reports for finance as needed.
  • Checking PO numbers , delivery start and end dates on Forward seasonal orders and chasing where necessary with both our warehouse teams in Hemel and Germany and provide updates to the customer. You will also assist with Informing Warehouse of any delivery requirements that may have changed.
  • Verifying that ‘Customer Split Options’ are correct for the forthcoming season. This will need to be checked each season.
  • Email order confirmations to all customers who placed an order at the end of each season after delivery dates are entered on the order. The customer can then check the styles, colours, quantities and the delivery dates.
  • Next billing – sending over line sheets to our finance team that reference our article number and theirs.
  • Splitting orders on the system as the needs of the customers
  • Renaming images as the customers needs
  • NEXT Finalise JLP/HOF/NEXT buy plan.
  • Pull of reports ad-hoc from our U2 system , for example Free stock reports.
  • Create Returns and assist in Customer Service Manager’s absence
  • Assist with sending out VM material – Seasonal POS
  • HOF and JLP Critical Path creation with Key Account Manager
  • Updating Google drive with Images
