Vivienne Westwood is seeking an experienced Wholesale Coordinator to join the Commercial Operations team in central London. As Wholesale Coordinator, your main responsibility will be to support the wholesale teams and key wholesale customers worldwide. This is a fixed-term contract for 12 months with the opportunity to extend.
Responsibilities:
According to the selling campaign calendar, enable all the lines for orders insertion and ensuring that the delivery windows are set up in the system.
Enabling of the lines whenever an order outside the seasonal sales campaign needs to be inserted (i.e. additional, special, stock orders or when goods need to be moved under a new customer code or insertion error).
Constantly liaising with the Sales/Buying Teams worldwide and update the Commercial Operations Manager on the status of the selling campaign.
Ensure accuracy of all sales orders: make sure that the orders are raised under the correct agent and that the right hub is input for all UK customers/ IT lines orders.
Make sure that payment terms, discounts, currencies and incoterms are correctly input on the orders before the OCs are issued.
Onboarding new customers and ensuring timely set up with finance team.
Adjusting orders under correct/updated customer codes when necessary.
Support the Wholesale teams and wholesale customers worldwide throughout the season and perform all administrative tasks related to key customers, as directed by the Commercial Operations Manager.
Download and share the OCs with key accounts requesting PO immediately after the end of the sales campaign.
Check customers POs against the OC and manages adjustments directly with the customers when necessary. Verify that quantity, prices, product codes, product/color descriptions, supplier code, DW and destination of the goods exactly match the OC.
Input clients’ POs in SAP so that stock can be shipped out as soon as available.
Liaise with Customer Care for all clients’ deliveries on a weekly basis. Highlight any delivery problems and advise sales teams and management.
Liaising with the showroom team, to make sure that all relevant buyers are promptly involved in case of deliveries block due to outstanding payments.
Request PO's extensions where required.
Commercial Agreements returns and swaps administration.
To work towards all performance targets as set by the management team.
Experience, Knowledge & Skills:
A minimum of 2 years’ experience in a similar role within fashion/ wholesale retail, specifically with a focus on wholesale, franchise, or distribution chains.
Excellent written and verbal communication
Strong teamwork skills, able to build positive cross-functional relationships.
A strong commitment to customer service and maintaining excellent service standards.
Decision-making ability and a sense of responsibility.
The ability to understand and analyze reports.
Planning and organisational skills.
Experience from working with department stores worldwide (preferred).
Strong numerical capability, accurate with good attention to detail.
Strong Excel and MS Office skills.
