Oceanus is looking for a meticulous Wholesale Operations & Supply Chain Manager with strong logistics and fulfilment experience to join the team in London.

The successful applicant will be responsible for the end-to-end management of Oceanus' wholesale operations, ensuring products move efficiently from suppliers through to customers.  Taking ownership of operational excellence across the wholesale function and working closely with suppliers, logistics partners, warehouses, customers and internal stakeholders, the Wholesale Operations & Supply Chain Manager will oversee supplier coordination, production tracking, logistics, customer order management, inventory reporting, product data management and operational systems, while continually improving processes to support business growth.

Responsibilities of the Wholesale Operations & Supply Chain Manager

Wholesale Operations:

• Own the wholesale order lifecycle from order placement through to customer delivery.
• Process and manage wholesale orders within systems.
• Prepare and issue order confirmations.
• Raise delivery notes and coordinate warehouse fulfilment.
• Monitor orders through to successful delivery.
• Provide post-delivery customer support and resolve order issues.
• Ensure all wholesale records remain accurate and up to date.

Supplier & Production Management:

• Manage daily communication with suppliers regarding production status and manufacturing timelines.
• Follow up outstanding purchase orders and production schedules.
• Raise purchase orders with suppliers.
• Provide suppliers with production specifications, artwork, barcode information and product requirements.
• Monitor inbound production shipments.
• Resolve production discrepancies, shortages and quality issues.
• Logistics & Warehouse Management
• Coordinate inbound and outbound logistics with 3PL.
• Track supplier shipments from factory through to warehouse.
• Liaise with warehouse teams regarding incoming deliveries and booking requirements.
• Coordinate Advance Shipping Notices (ASNs).
• Manage courier relationships
• Resolve customs clearance and shipping issues.
• Coordinate retailer-specific fulfilment requirements.
• Act as the primary operational contact for wholesale customers.

Inventory & Product Data Management:

• Maintain product master data within systems.
• Create new products and exclusive customer styles.

Creating and Maintaining:

• Style codes
• SKUs
• Barcode information
• Ensure product data accuracy across systems.
• Maintain Available-to-Sell (ATS) reports.
• Monitor inventory by warehouse and location.
• Investigate stock discrepancies.

Sales Support & Wholesale Administration:

• Prepare seasonal wholesale collections.
• Verify pricing and product information.
• Ensure all products are correctly represented within lookbooks.
• Coordinate market preparation.
• Export customer selections.
• Produce Excel order summaries.
• Finance & Invoicing

Systems & Process Improvement:

• Maintain and optimise operational systems.
• Develop scalable operational processes.
• Improve workflow efficiency across wholesale operations.
• Identify operational risks and implement solutions.
• Support the implementation of new logistics partners and systems.
