The HR & Recruitment Administrator will support the HR Manager and team by providing an effective, efficient and proactive administration service, supporting all aspects of the employee lifecycle for Four Marketing Group’s client groups.

What the HR & Recruitment Administrator will be doing…

Client Group Support:

  • Provide full 360 administration services for relevant client groups throughout the employee lifecycle, including, but not limited to: offer letters, contracts of employment, references, variation letters and leavers’ letters.
  • Ensure regular reporting to the relevant client group Advisor in relation to outstanding documentation and ensure regular follow up for the timely return of.  his includes, right to work documentation, signed starters paperwork and probation reviews, with escalation to the relevant Advisor should there be any persistent issues.
  • Support with employee onboarding and offboarding processes as
  • Support in relevant employee relations cases by attending meetings and taking full, accurate notes as required.
  • Undertake direct meetings with employees in relation to queries as and when required
  • Support with budget management, raising purchase orders (POs), and processing invoices. 

 
HR System:

  • Answer and effectively address any queries presented by your relevant client groups in relation to using the self-service HR system.
  • Usse the system proactively to run periodic reporting to analyse trends and highlight any potential issues to the relevant Advisor. This will include sickness absence levels, annual leave planning and training requirements.
  • Ensure all starters, leavers and changes for the relevant client groups are processed on the system within the timelines specified in department SLAs.
  • Become a system ‘expert’, supporting in the relationship management of queries and developments with the system provider.

 
Recruitment: 

  • Source applicants through online channels, such as LinkedIn, the Four Marketing Group career page and other professional networks.
  • Identify and refine down the most suitable talent pool from job advertising
  • Keep records of all materials used for recruitment, including interview notes and related paperwork, to share with key stakeholders.
  • Regular communication with relevant HR representatives in regard to: Candidate start date, verbal offer acceptance, new starter details as well as any other information required.
  • Be accountable for monitoring job advertisements posted on the different online platforms/channels.

General Administration:

  • Ensure the integrity of employee data and documentation, ensuring this is up to date and
  • Support the HR Manager with the completion of the monthly payroll process as required, ensuring that the relevant information in relation to changes, starters and leavers, is effectively communicated

Projects:

  • To support in collating information to inform HR projects and strategy
  • To undertake ad-hoc research projects to help aid the department in the formulation of strategic
  • To work collectively and collaboratively as a key part of the overall Group HR Team, contributing effectively to team weekly meetings, HR planning and to support in wider group projects if required.
